1. Who we are
TIPS — the Traveler Inquiry Polling Service — is operated by Internovations, LLC ("Internovations," "we," "us," or "our"). TIPS is a research platform that helps transportation agencies and businesses build surveys to collect travel and route preferences from targeted demographics. Our service is offered to organizational customers (each, a "Client") and is not designed for use by the general public as a consumer product.
2. Who this statement applies to
This statement covers four groups of people:
- Visitors — anyone who browses travelerips.com.
- Clients — organizations that subscribe to TIPS.
- Client Users — individuals who sign in on behalf of a Client.
- Travelers — people who receive a Survey Invitation from a Client or scan a QR code that links to a survey on TIPS.
For information that Clients upload (such as Traveler email lists and survey responses), the Client is the data controller and we process that information on the Client's behalf. We do not share Traveler information between Clients.
3. Information we collect
3.1 From Visitors
- Contact form submissions: name, email, phone (optional), organization, organization type, job title, the inquiry type and plan you're interested in, and the message you send us. We also record the IP address, browser user-agent, and referring URL of the submission.
- Server logs: standard web-server logs including IP address, request time, requested URL, response status, browser user-agent, and referrer.
3.2 From Clients
- Account and billing information: company name, address, billing email and phone, plan tier, and payment-related identifiers returned by our payment processor. We do not store full payment card numbers on our systems.
- Client content: logos, privacy and policy statements you choose to display to Travelers, email and survey boilerplate copy, sender names and addresses for Survey Invitations, and any map boundaries you create.
- Traveler lists you upload: email addresses and any optional fields you provide (such as first name, last name, zip code).
3.3 From Client Users
- Profile: first name, last name, email, job title (optional), phone (optional), and your role on the Client account.
- Sign-in activity: we use one-time codes sent by email rather than passwords. We record sign-in requests, successes, failures, and the IP address and browser user-agent of each attempt for security and abuse monitoring. If you choose to remember a device, we store a cryptographically random token (not your credentials) for up to seven days.
3.4 From Travelers
- Profile information: at minimum, an email address. Depending on the survey, a Client may also collect first name, last name, and zip code.
- Survey responses: the answers you give to survey questions, including any routes you display or create on map-based questions.
- Verification and integrity data: when you arrive via an email link or QR code, we record the associated identifier so we can attribute your response to the correct survey and prevent duplicate submissions. For QR-code arrivals where you provide an email address during the survey, we send a one-time verification email so the response can be linked to a confirmed address. We also record the IP address and browser user-agent of survey-related actions.
4. How we use information
We use the information we collect to:
- Provide, operate, and improve the TIPS service.
- Authenticate Client Users and protect accounts from unauthorized access.
- Deliver Survey Invitations, verification emails, and transactional messages such as billing receipts and account notices.
- Process payments and manage subscriptions through our payment processor.
- Validate survey responses, prevent duplicate submissions, and enable Travelers to resume a partially completed survey.
- Provide Clients with reports and exports based on their survey responses.
- Monitor for abuse, fraud, and security incidents, and comply with our legal obligations.
- Respond to inquiries submitted through our contact form.
5. Cookies and similar technologies
We use a small number of cookies and similar technologies:
- Session cookies — required to keep a Client User signed in and to maintain form state.
- Trusted-device cookies — when a Client User opts to remember a device, we set a signed cookie valid for up to seven days so the user can sign in without requesting a new code each time.
- Survey-completion cookies — placed on a Traveler's device after a survey is submitted, to prevent duplicate completions from the same device.
- Analytics cookies — set by Google Analytics on the public-facing website to measure aggregate page views and traffic sources. We do not use advertising features, audience remarketing, or cross-site behavioral targeting.
- hCaptcha cookies — set by hCaptcha on the signup form to distinguish humans from automated traffic.
We do not use advertising cookies or behavioral-advertising tracking pixels.
Analytics cookies only fire if you accept our cookie banner on first visit. The hCaptcha cookie is treated as strictly necessary because the signup form cannot function without bot protection; it is set when you load the signup page. Session, trusted-device, and survey-completion cookies are also functionally required. You can change your analytics choice at any time by clicking Cookie Settings in the footer of any public page.
6. How we share information
6.1 Service providers (subprocessors)
We take reasonable steps to safeguard the information we handle, and we do not sell or share personal information for marketing or advertising purposes. We do, however, rely on a small set of vendors to operate TIPS. Each is bound by contractual obligations to protect the information they handle on our behalf, but each also operates under its own privacy policy — we encourage you to review those policies to understand how the vendor processes data:
- SiteGround — web hosting and database hosting for the TIPS application. (SiteGround privacy policy)
- Stripe — payment processing and subscription billing. Payment card details are entered directly into Stripe and are not stored on TIPS servers. (Stripe privacy policy)
- Brevo — transactional and Survey Invitation email delivery. (Brevo privacy policy)
- hCaptcha — automated abuse / bot protection on the public signup form. (hCaptcha privacy policy)
- Google Analytics — aggregate usage statistics for the public-facing website (page views, referral sources, device categories). We do not use advertising features, audience remarketing, or cross-site behavioral targeting. (Google privacy policy)
- Mapbox — interactive map rendering for map-based survey questions. (Mapbox privacy policy)
6.2 Clients
Traveler information collected through a Client's surveys is made available to that Client, including through reports and data exports. We do not share Traveler information between Clients. Each Client is responsible for its own use of the information it collects.
6.3 Legal and safety
We may disclose information when required by law, to respond to valid legal process, to enforce our agreements, or to protect the rights, safety, or property of Internovations, our Clients, or others.
6.4 Business transfers
If Internovations is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to standard confidentiality protections.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.
7. Data retention
We retain information for as long as needed to operate the service and to comply with our legal obligations.
- Active subscriptions: Client Content is retained for as long as the subscription is active.
- Free trials: Client Content remains available during the trial. When the trial ends without a paid subscription, the Client account is locked to the billing screen so the Client may subscribe and continue. Content for trial accounts that never convert may be deleted at our discretion.
- After cancellation: Client Content is retained for the post-cancellation retention period associated with the Client's subscription tier (typically one to two months, depending on plan), so the Client can export their data before deletion. At the end of that window, an automated process permanently deletes the Client's surveys, survey responses, mailing lists, Traveler Profiles, Client Users, and account record. Travelers approaching the end of their information's retention window are not separately notified; the deletion is operated on the Client's behalf.
- After non-payment: if a subscription becomes unpaid after our payment processor exhausts its automatic retry schedule, the account is suspended. If the Client does not restore payment, the account follows the same post-cancellation retention timeline described above.
- Account and billing records: we retain account, billing, and tax-related records for the periods required by applicable law, even after a subscription ends. Payment-card details are stored only by our payment processor and are not on TIPS servers.
- Security and audit logs: sign-in and related security events are retained for a limited period for abuse monitoring and incident investigation, and are removed alongside the Client account when retention expires.
8. Security
We use reasonable technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction. Examples include encrypted connections (HTTPS), hashed storage of sign-in codes and trusted-device tokens, least-privilege database access patterns, and ongoing monitoring of sign-in activity. No system is perfectly secure; we encourage you to use strong, unique credentials at every service you use.
9. Your choices and rights
9.1 Survey Invitation opt-out
Every Survey Invitation includes an unsubscribe link. Clicking it brings you to a confirmation page where you can opt out of further Survey Invitations from the Client that sent the email — no account or sign-in is required. Opt-outs are scoped to the sending Client; if multiple Clients have invited you, each maintains its own list and you can opt out of each independently. Opt-outs apply only to Survey Invitations and do not affect transactional messages (such as verifying or thanking you for a survey you chose to take).
9.2 Access, correction, and deletion
Depending on where you live, you may have the right to request access to the personal information we hold about you, to ask us to correct it, to ask us to delete it, or to object to or restrict certain processing. Where a Client is the controller of the information, we will refer your request to the Client and assist them in responding.

10. Children's privacy
TIPS is intended for use by organizational customers and adult survey respondents. We do not knowingly collect personal information from children under the age of 13. If you believe a child has provided personal information through TIPS, please contact us and we will delete the information.
11. International users
TIPS is hosted in the United States. If you access the service from outside the United States, you understand that information you provide will be transferred to and processed in the United States, which may have data protection laws that differ from those in your country.
12. Changes to this statement
We may update this Privacy Statement from time to time. When we do, we will revise the effective date at the top of the page. If we make material changes, we will provide notice in a manner appropriate to the change — for example, by posting a notice on travelerips.com or, where appropriate, by emailing Clients.
